How to apply
The grant application process is divided into two stages: a letter of enquiry and an application.

An applicant is invited to submit a full proposal only if their letter of enquiry has been accepted

There are no deadlines for letters of enquiry, as the Foundation reviews these requests regularly. Please submit all correspondence to:

The members of the board of trustees request that correspondence be submitted to the Foundation office in place of personal or written contact with individual board members.


How to apply
In order to initiate a proposal to the David and Elaine Potter Foundation, please submit a one - to two-page letter of enquiry. Your letter should include the following information:

  • contact name
  • contact telephone numbers/fax number
  • contact email
  • organisation background and brief description of activities
  • total income of the organisation in the last complete financial year
  • brief project synopsis, time frame, and anticipated outcome
  • grant amount requested and total project cost
  • charity status, charity registration number if applicable

    Once the Foundation director has reviewed your letter, we will contact you via email to acknowledge receipt. The contact information listed on your letter of enquiry is where all correspondence will be sent. If you do not receive email notification within two weeks, please contact us. Following up on a letter of enquiry is the organisation’s responsibility.
  • How to apply
    Should the Foundation approve your letter of enquiry, you may then complete and submit a formal application. Your formal application must include all information originally provided in the letter of enquiry and expand on details appropriately and as suggested by the Foundation trustees.

    In assessing applications, the trustees consider the following information:
    • whether the aims of the organisation meet the Foundation priorities
    • a copy of the most recent report and audited accounts
    • a full description of the project requiring funding, with details of who will benefit
    • a complete budget for the project, with amount requested from the Foundation
    • a description of how the project/programme will be evaluated and outcomes measured

    What happens next

    The Foundation director screens letters of enquiry and applications to establish whether sufficient information has been submitted. Additional details are sometimes requested before any further action is taken. At any point, a visit might also be arranged in order to gain greater insight into an organisation. All letters of enquiry and applications are considered on an individual basis by the trustees. Applicants are notified of the outcome of each stage by letter.

    Evaluation

    The Foundation requires evaluation information about the expenditure of grants and/or programme outcomes every six months after grant monies are received and until the funds have been expended. A final report on the grant will be required within three months of completion of the project/programme. If relevant to the grant evaluation process or to consider future funding, a site visit may be arranged at this time.
